Include the following in the text of every email message to the Foundation:

  • Name of your organization
  • Contact person
  • Full mailing address of your organization, including country
  • Phone number
  • Fax number
Include the following on every page of your concept letter submission (including the budget and any other supplemental information):
  • Name of your organization
  • Email address
Please do NOT send the following:
  • Multiple copies of your submission by fax, mail and email.
  • Multiple copies of your submission by email to more than one email address.
  • Concept letters in excess of four pages.
  • Any printed materials in smaller than 10 point font.
  • A cover letter. All the necessary information should appear in the four-page concept letter.
When writing your concept letter, please be sure to be explicit about what your work will entail.
  1. Briefly state the problem you are facing, e.g. “Half of the youth in our country are infected or directly affected by HIV.” The segment of your four-page concept letter devoted to identifying the problem should be proportionately very small.

  2. State your project’s specific objective, e.g. “Our goal is to improve policies affecting children with HIV, including an increase to access to treatment for children and their parents and an increase in funding for programs that assist orphaned and vulnerable children.”

  3. MOST IMPORTANTLY: State exactly how your organization will achieve the objective, e.g. “We will educate policy makers about the terrible impact of HIV on our nation’s children through a series of one-on-one meetings as well as quarterly luncheon briefings. These meetings will make use of our organization’s issue briefing papers as well as the in-person expertise of our coalition partners.” The majority of your four-page concept letter should be used to tell us the details of your work.
